I’m using Microsoft 365 on a Windows 10 64-bit system. Some of these settings aren’t available in earlier editions. There’s no demonstration file; you won’t need one.
How to set up a reminder in Outlook
It won’t help to discuss newer (or otherwise helpful) options if you don’t know how to set a reminder. The good news is, it’s simple, and you can set one for most Outlook items. Using the Calendar, double-click the day (and time, depending on which view you’re using). If the appointment or meeting already exists, double-click it to open it. In the resulting dialog, the reminder option is in the Options group. Simply choose the number of minutes, hours, days, or even weeks ahead from the Reminder dropdown shown in Figure A.
To set a reminder for a task, open an existing or new task and use the Follow-Up option in the Tags group. Specifically, choose Reminder from the Follow-Up dropdown and use the resulting dialog to complete the settings. Use this same method to set a flag for new and existing emails, which isn’t quite the same thing as a reminder. You won’t see the flag if someone responds: The flag is in the copy of the message, which by default, Outlook will save to the Sent folder.
Set reminders for calendar appointments
- Go to Calendar in the navigation pane.
- Double-click on the desired appointment. The appointment will open.
- In the “Options” group in the ribbon, locate the “Reminder” drop-down box and select the time you want the reminder to display (i.e. “15 minutes” will display a reminder 15 minutes before the appointment begins.) Select “None” if you do not want a reminder for this appointment.
- Click [Save & Close].
Change or turn off the default reminders
Outlook automatically sets reminders for new appointments you create. You can change the default settings in Outlook so that no default reminder is set or to change the default time for reminders.

Message reminders are another way to stay on top of your email. When this feature is on, you’ll see message reminders at the top of your inbox that remind you to reply to messages you might have missed that are older than 3 days.
The AI-powered notification tool will automatically analyze your inbox to bring those emails to the top that probably need your attention. You will get reminders to reply to messages you may have forgotten about. These notifications will also remind you to send follow-up emails to coworkers they had already emailed and hadn’t heard back in a couple of days.

This outlook add on adds two buttons: “Follow-Up” and “Custom” into the toolbar of Message Editor (click the button “New email message”). Using these two buttons to send a message the message can be considered to be under control. In the first case, you use the default time waiting settings for the reply and the criteria according to which the program should identify the incoming message as a reply. In the second case, you can adjust these settings for each message sent on an individual basis.
